Description

Capula are looking for a personal assistant to join our team in London.  This role will primarily be responsible for supporting a team of traders and to assist the Co-Founding Partner and Head of Yen RV. The successful candidate must be a native Japanese speaker with good communication in English. 

Duties:

  • Organise travel, accommodation and itineraries; change schedules as required; co-ordinate with other PAs or departments as necessary; and arrange any necessary visas
  • Facilitate travel and accommodation requirements
  • Extensive and complex diary management
  • Processing of expenses
  • Co-ordinate internal meetings relating to any specific projects as directed
  • Organise lunches, dinners and attendance at any corporate events
  • Complete meeting room bookings, including any catering requirements
  • Arrange any recruitment related meetings in conjunction with HR
  • Collation and production of meeting materials as required
  • Maintain confidentiality as appropriate
  • Provide support for other senior executives in the business during times of absence of other admin team members
  • Work as part of the administration team to answer in-coming calls and take/relay messages as appropriate
  • May be required to work occasionally on a bank holidays (on an ad hoc basis)
  • May be required to act as a floating personal assistant for other trading teams. Note that this role requires being in the office full time, five (5) days per week.

Note that in addition, the employee will conduct other duties as required and in line with business needs.



Requirements

Education and Qualifications

  • Bachelors degree is highly desirable

Experience

  • Prior experience providing personal assistance at a senior level within a professional services environment

Skills

  • Bilingual in Japanese and English
  • Exemplary communication skills – both written and verbal
  • Understand the need for discretion and uphold confidentiality at all times
  • Be confident in nature but remain approachable
  • Be a team player
  • Be a self-starter, who can show initiative
  • Excellent knowledge of Microsoft office suite
